PAPER PRESENTATION INSTRUCTIONS
Please read carefully!! – It is your obligation to follow all requirements.
All papers at ICRA 2026 will be either an Oral Presentation or a Poster at the Interactive Sessions including the LBR – Late Breaking Results Poster Session. Detailed instructions are given below.
If you cannot attend in-person, then your paper will not be presented at the conference, but your talk recording or poster will be available on InfoVaya if you upload it, see https://2026.ieee-icra.org/contribute/final-author-instructions/.
Presentation Day and Time
The ICRA 2026 program will also be available on InfoVaya from 12 May 2026. The day and time of your presentations are displayed in the “Details” section of your presentation page on InfoVaya (log in to InfoVaya, click on your name, and click on your paper title under your “Contributions” section).
Oral Presentations
Each paper will have a ten (10) minute slot. You can use the ten minutes as you wish. The advice is to present not more than seven minutes and leave at least three minutes for questions.
Note, there will be strict time management. Session chairs will cut off speakers who go over 10 minutes. Please make sure you deliver the talk in time.
Please prepare your slides in 16:9 format.
You will present using your own laptop, by connecting just with the HDMI cable of the big screen. Please test the connection before your session starts and keep a backup copy of your presentation on a USB drive for emergency cases.
To make sure the connection works on your computer, test this in the assigned room before (!) the session starts. Volunteers and a technician will be there to assist in case something does not work. Alternatively, bring your presentation on a memory stick to be able to use a provided laptop.
Speakers will begin as soon as they are introduced by the session chairs.
Presentation of a poster at the Interactive Sessions
All posters will be paper posters brought by attendees. Authors who cannot attend in person are welcome to arrange for colleagues to display their posters, but the conference cannot provide support for remote participation.
Authors are responsible for printing their own posters and bringing them to the conference venue. There is an option to order your poster in Vienna and pick it up at the venue, directly at the poster area, see further information here: POSTER PRINT.
Please check the program on PaperPlaza to find out your interactive session and poster number. The number at the end of your paper code in the program corresponds to your poster wall number. For example, if your paper is labeled “TuI1I.440”, it should be displayed on poster wall number I 440.
You do not need to bring material to mount the posters. Sticky tape will be provided by volunteers at the conference.
Interactives - Poster Format
Attention! Not applicable for Late Breaking Result posters! (for LBR posters see next paragraph!)
Printed posters should be LANDSCAPE format A0 (W x H: 1189mm x 841 mm or about 46 x 33 inches). Poster stands for all ICRA posters (except LBR posters) will have a board to place your laptop and possible provide more details or a video of your work.
Please check the program on PaperPlaza to find out your interactive session and poster number. The number at the end of your paper code in the program corresponds to your poster wall number. For example, if your paper is labeled “TuI1I.440”, it should be displayed on poster wall number I 440.
Late Breaking Results (LBR) - Poster Format
Late-breaking posters are A0 format in PORTRAIT (=upright) format A0 (W x H: 841mm x 1189mm or about 33 x 46 inches). There will be no board to hold a laptop.
The area of the Late Breaking Results is within the Interactive (Poster Area) in Hall C, at the wall opposite the hall entrance. As with the regular posters, please check PaperPlaza for your session and poster number. The number at the end of your paper code in the program corresponds to your late-breaking poster wall number. For example, if your paper is labeled “TuI1LB.25“, it should be displayed on poster wall number LB25.

Workshop/Tutorial - Poster Format
Workshop/Tutorial posters are A0 format in PORTRAIT (=upright) format A0 (W x H: 841mm x 1189mm or about 33 x 46 inches).

Poster Setup and Takedown
Interactive & LBR Sessions are scheduled either for the morning, 9:00 to 10:30, or the afternoon, 15:00 – 16:30. Your poster should be set up 10-15 min before the start of the session.
Morning posters: Display is allowed from 8:30 to 12:30
Afternoon posters: Display is allowed from 14:00 to 18:00
Please make sure to dismantle your poster immediately after 12:30 respectively 18:00. In case the next presenters need your poster wall, we may destroy your poster.
